Specialist – Records Management

The position of Specialist: Records Management is vacant. The Specialist: Records Management will report directly to the Senior Manager: Knowledge Management, and forms part of the Research and Development Division. The position is based at GEMS Head Office, Pretoria.The total remuneration package will be will be based on qualifications and experience. The Specialist: Records Management will be responsible to manage the Scheme’s transformation, including the implementation and administration of the Scheme‘s scorecards and legislation through the following KPA’s

Key Performance Areas (KPAs):

  • Develop a records management programme
  • Develop record management Policies and Standard Operating procedures
  • Develop and manage records management file classification system
  • Develop and maintain the electronic records management system
  • Manage vital records of GEMS
  • Manage offsite records
  • Conduct record management audits
  • Manage the GEMS library (physical and digital)
  • Manage subscriptions and access to research/journals
  • Identify and promote opportunities for knowledge sharing within GEMS
  • Support the designing and implementation of innovation programmes and processes

Qualification requirements are:

  • Degree/ Diploma in Information Sciences or similar
  • Minimum of 4-8 years of work experience in Records Management at a middle management level in liaison with National Archives or relevant institutions
  • Experience in the development and management of electronic Records Management systems 
  • Knowledge and experience of Microsoft SharePoint environment will be an added advantage
  • Records Management Certificate with National Archives and Records Service of South Africa or accredited institution will be an added advantage
  • Knowledge of relevant standards as well as the statutory and regulatory framework within which GEMS functions
  • Implementation and Understanding of Business Continuity environment, planning, and practices:
  • Diligent work ethic with attention to detail
  • Excellent Turnaround and Organised with good time management skills
  • Sound Project Management skills are critical
  • Analytical and the ability to manage multiple priorities
  • Excellent written and verbal communication and interpersonal skills
  • Ability to work independently and as well as part of a team
  • Computer literate at an advanced level
  • Self-motivated and pro-active
  • Resilient pressure management abilities

Desirable

  • Understanding of medical schemes industry
  • Membership or accreditation with a professional body
